Job Description:

Performs advanced (senior-level) clerical work in assigned program area. Work involves coordinating clerical activities such as compiling and tabulating data, checking documents for accuracy, handling and transporting documents and/or stock and inventory, and maintaining files. May train others. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment. ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Responsible for administering and coordinating the senior-level clerical components of the Centers PAP Program. Tracks medications from ETBHN Pharmacy. Records medications in ETBHN database for tracking of inventory. Ensures all information (e.g., drug generic name, expiration date, and lot number) is maintained via log record for packaged drugs. Assist with developing training materials for the PAP Program. Maintains files, records, and related documentation.
  • Performs data entry, data retrieval, and data searches. Schedules appointments and meets with consumers regarding the PAP Program.
  • Answers inquiries regarding PAP policies and procedures, assists the public and staff in filling out forms, and provides information to the public by mail, phone or in person.
  • Reviews, prepares, edits, and reconciles discrepancies in reports, correspondence, summaries, vouchers, requisitions, records, and other related forms.
  • Records, reviews and edits information on agency records and recommends modifications as needed.
  • Reviews and complies data; verifies calculations; and edits charts, graphs, and tables.
  • Follows established process to verify consumer insurance to determine eligibility for PAP.
  • Coordinates resources with outside entities required for the ongoing management of the PAP Program.
  • Opens and distributes incoming mail; prepares mail-outs; processes outgoing mail; and maintains and reviews records on postage, registered mail, and packages.
  • Delivers, picks up, or receives documents, medications, supplies, mail, equipment, or materials; checks for quantity and quality.
  • May train others. Responsible for the coordination of scheduling planning meetings and notifying staff and other identified parties of meetings. May provide back-up coverage to clerical staff in the BH Division as needed. Clearly, legibly and thoroughly completes required documentation. Turn in documentation and other paperwork to include employee time sheets, expense voucher, and other employee and program documentation by the due dates 100% of the time. Demonstrate high ethical standards, trustworthiness, and personal integrity. Regular attendance, dependability, and promptness are required for the 8-5 workday or agreed upon hours 100% of the time, to ensure consistency and completeness of programs processes. Professional Development - Successfully complete training required to maintain skill competency and cross training to ensure consistency across program procedures. Complete continuing education as required by the Center. Performs related work as assigned. Frequent daily driving within the catchment area is required. GENERAL QUALIFICATIONS: Experience/Education/Licensing/Certification Experience in clerical work. Graduation from a standard senior high school or equivalent is required. Knowledge/Skills/Abilities Central Counties Services incorporates principles of trauma-informed care, which includes cultural sensitivity, in all areas of service delivery. Knowledge of business or program terminology, office and HIPPA procedures, spelling, punctuation, grammar, and arithmetic; of purchasing policies and procedures; of records administration and maintenance techniques and procedures. Skill in using a personal computer and office equipment. Ability to make arithmetic computations; to prepare and maintain records, files, and reports; and to transfer stock from one location to another. Ability to proficiently utilize computer programs, e.g., Microsoft Word and Excel. Ability to see, hear and talk effectively within job requirements. Ability to stand, sit and walk for extended periods. Ability to effectively handle potentially aggressive behavior in a positive manner. Relationship Skills Ability to communicate effectively, both verbally and in writing. Work behavior must be compatible with Center value statement and Policies and Procedures Manual contributing to an environment of problem solving, building trust, conflict resolution, and customer service. Ability to perform tasks effectively and efficiently. Ability to plan and schedule work and implement directives without constant supervision. Ability to present a professional appearance and conduct when representing the Center. Ability to work cooperatively and productively with supervisor, individuals, co-workers, and groups of persons at all levels of activity, contributing to a strong spirit of teamwork and customer service. Ability to establish and maintain effective working relationships with staff, other agencies and the general public using tact, courtesy and good judgment. Additional Requirements Must have and maintain a valid drivers license with an acceptable driving record. Regular attendance and reliability is critical to business operations.
